Monetra Pirkanmaa Oy is a regional subsidiary of the Monetra Group that provides financial and human resources management services to counties, municipalities, cities, companies within municipal groups, and charitable foundations. Monetra Pirkanmaa began operations in 2019, and its growth over the past four years has been remarkable. As a result of this growth, the number of employees has nearly doubled, and Monetra Pirkanmaa currently employs over 300 finance and HR management specialists.

Before marking the switch, the internal finance department used spreadsheets and static PowerPoint visualizations to map out schedules and processes. They knew they needed a more efficient tool to support annual planning and reduce manual work. For this, they chose Plandisc. Today, multiple departments use the tool to stay in sync and keep communication flowing.





Gaining Control Through Visual Clarity

Financial planning and reporting follow a strict rhythm. At Monetra Pirkanmaa, these processes involve countless recurring deadlines. Previously, the team managed these through traditional date lists and PowerPoint calendars. However, team members found that lists couldn’t capture the complexity of their multi-level processes, and creating annual calendar visualizations in PowerPoint was both laborious and resulted in a quite dull outcome.

The team decided to find a clearer, more visual tool that actually met their scheduling and communication needs.

The initiative came from our team. We were discussing with the Controller how we could bring more transparency and a better visual overview to our scheduling.

Cutting the Manual Churn with Versatile Features

 While the finance department first introduced Plandisc, it soon became a cross-departmental tool used by service, development, and project managers. Teams now use Plandisc to visualize internal schedules, tasks, and responsibilities. Looking ahead, the service production team plans to use the tool for the customer interface as well. 

- We acquired Plandisc primarily for our own internal use, but of course, we also had representatives from our service operations attending the training sessions, and I’m sure that’s where some of those ideas came from. After all, this is a very versatile tool that offers a wide range of possibilities, Hanna explains.

 

Personal onboarding helped skip the learning curve

Even though the tool is intuitive, the company found that a personal introduction made a world of difference for new users.

It was definitely a good thing that we didn’t have to learn everything from scratch, but that someone showed us how it should be done and where to start.

How a Dynamic Dashboard Brought Clarity to the Whole Team

Monetra Pirkanmaa Oy actively utilizes several of Plandisc’s features. Plans and templates created with Plandisc are shared within the company, the completed calendars serve as planning templates for new ones, and old plandiscs are modified as processes change. 

With Plandisc, they’ve managed to cut down on administrative noise and manual updates.

The Microsoft 365 integrations have also become a favorite. The company syncs its plans with Outlook, integrates them into PowerPoint, and shares views via SharePoint.

- "We’ve created a 'manager’s dashboard' in SharePoint and embedded our plandisc in it. If we update the calendar in Plandisc, the SharePoint view updates automatically."

More Efficiency, Less Documentation

The key benefits of Plandisc are its versatility and visual appeal. With Plandisc, Monetra Pirkanmaa Oy has gained much-needed transparency into their processes and now have a firm grip on their tasks and schedules.

We no longer need to document processes and guidelines as much. The annual calendar and the reminders it sends are sufficient. The transparency of the annual cycle has also enabled better resource and vacation planning. In addition, plandisc serves as a good checklist for what’s coming up.

Building a common language for planning
